How to use the RMS to track subcontractor COI's and maintain documentation for carrier audits

Introducing Subcontractor COI Monitoring — Built to Protect Your Business
We’re excited to unveil a powerful new tool designed specifically for franchisees: Subcontractor Certificate of Insurance (COI) Monitoring. This easy-to-use software automatically tracks your subcontractors' insurance documentation—helping you stay protected, avoid audit surprises, and reduce risk across every job site. No more manual follow-ups or lost certificates. The setup is simple, the benefits are long-term, and the peace of mind is immediate. Let’s walk you through getting started.


First things first:

  1. Franchisor needs to “opt in” to allow franchisees access to Monitor Subcontractors
  2. Franchisee needs to be a “Rikor Customer” to access Subcontractor Monitoring tab in the RMS (app.rikor.io)
  3. Franchisee needs to begin the process on the “Subcontractor” tab
  4. Access the “Subcontractor” tab and click “Activate Subcontractor Monitoring”

Video 2: Subcontractor Invitation

In this video, I walk you through the process of inviting a subcontractor to our system and how they can get started. As a franchisee, you'll enter the subcontractor's email to send an invitation, and they'll need to retrieve a verification code from their inbox. Once they log in, they'll be prompted to upload their Certificate of Insurance (COI) to ensure compliance with the insurance requirements you set. It's important to note that the system will analyze the COI and provide feedback, but it may take some time for approval. Please make sure to follow these steps to ensure a smooth onboarding process for your subcontractors.

 

Step 1: Activate

Access the “Subcontractor” tab and click “Activate Subcontractor Monitoring”

 

Step 2: Set Up Requirements

Choose what insurance requirements you need your subcontractors to have. 

Step 3: Send a Subcontractor a Request

Enter their email address and click send.

 

Step 4: Subcontractor Receives Request 

Subcontractor receives invitation

 

 

 

Step 5: Subcontractor "Get's Code" 

Subcontractor accesses the RMS

 

Step 6: Subcontractor "Drag and Drops" COI 

Subcontractor accesses the RMS

Subcontractor is successful. Click “Go to Dashboard” to view compliance status

 

Step 8: Subcontractor View Dashboard for Results

Subcontractor can review results after upload. Review can take up to 24hrs.
