To help you, as a franchisor, ensure that all franchisees have at least uploaded their policy documentation (moving their status from "Not-Verified") and subsequently work on improving compliance for those who are "Non-Compliant." This plan outlines a clear pathway using your RMS dashboard, along with potential consequences for non-compliance, referencing best practices from other brands.

Phase 1: Eliminating "Not-Verified" Policy Statuses

1. Set Clear Goals for Verification

  • Dashboard Monitoring: Use the RMS dashboard to actively monitor which franchisees have not uploaded their insurance documentation and have a “Not-Verified” status.
  • Go to the Overview Tab to see the data

  • Goal Setting: Create an internal goal to reach 0 "Not-Verified" franchisees within a specific time frame, such as 30 or 60 days.
    • Example: “By the end of Q4, all franchisees must have uploaded their insurance documentation for verification.”

2. Communication Strategy for "Not-Verified" Franchisees

  • Automated Outreach: Your RMS already sends automatic notifications every 3 business days. Reinforce this by making franchisees aware of the importance of uploading their documentation to avoid a 0 compliance score.
  • Weekly Check-ins: Set up an internal cadence where your compliance team checks the dashboard weekly to see who remains "Not-Verified" and reaches out via phone or email to offer help with the upload process.

3. Educational Support

  • Training Materials: Provide franchisees with guides or videos on how to upload their documents to the RMS, such as this “How to Upload a COI” article. Consider webinars or one-on-one calls to assist those struggling with the process.
  • Compliance Reminders: Remind franchisees how a "Not-Verified" policy significantly impacts their compliance score, potentially harming their business and relationship with the franchisor.

4. Target Completion Date

  • Completion Deadline: Set a hard deadline for franchisees to move their policies to "Verified" status. This can align with your quarterly or annual compliance review process.
  • Incentives: Depending on the need of your organization, implementation may require incentives to achieve the adoption goals you set by the completion date.
